Job Purpose

As Operations Manager you will take the lead and manage various agency and account operations initiatives. The role will interface directly with internal clients/teams and stakeholders across the agency.

On a regular and continuous basis, you will exercise judgement and an understanding of decisions, consequences, and results which have an impact on people, costs, and/or quality of service within the functional area.  You will gain and  maintain a detailed understanding of agency and account operations standards, policies and procedures as well as working within various company tools and systems. 

You will have responsibility for the office environment, ensuring we maintain a space which is conducive to work in and reflects the needs of our agency.

Key Responsibilities 

Agency Operations 

  • Become familiar with all systems and tools and be a point person within the agency for expert systems knowledge
  • Development of new training materials for agency use
  • Maintaining and evolving training documentation relating to process and / or systems
  • Creating and running reports for Operations and Finance from Workbook
  • Training of new starters or other team members on specific processes and procedures or tools
  • Working closely with the Head of Operations to manage the testing and implementation of scheduling and resource tool in Workbook
  • Lead on the implementation of Jaeggar (supplier / procurement software) and maintain database on an ongoing basis
  • Managing membership with Isla, ensuring the agency is aware of and uses all membership benefits to support the team’s continued learning regarding sustainability
  • Manage the agency’s GDPR compliance, working with heads of departments to ensure data stored on both client and internal purposes adheres to requirements
  • Identify areas where existing process can be improved, working with the Head of Operations to implement
  • Overall responsibility for the office environment – working closely with the office co-ordinator to ensure they are on top of the day to day running of the office. 

Account Operations

  • Partner with the Account Operations Team to offer support as and where is necessary across the key client accounts. To include:
    • Training of the team on client specific KPI’s / process
    • Account Management administration related to projects 
    • Project reconciliation 
    • Assist with preparing documentation for account teams such as client audits and budget recons
    • Checking and approving supplier purchase orders and invoices 

Your Background, Skills & Experience

  • Minimum 8 years of experience in corporate or agency setting
  • Demonstrably strong organisational and time management skills
  • Ability to understand and work with various systems and tools
  • Process orientated
  • Quick learner and ability to train other team members 
  • Enjoys all aspects of communication with all levels
  • Recognises the importance of working within client timelines and supporting key business reporting deadlines
  • Enjoys a varied work environment with demands recognising what to prioritise and when
  • Junior line management experience
