Senior Registration Coordinator

Job Purpose

As Senior Registration Coordinator you will work closely with the events teams to support them in the execution of their Executive Program (ExP), aimed at their C-Level attendees acting as an extension of the client’s team. You will have regular client and internal interaction with the ExP team globally, with the client based on the East Coast of America. 

Reporting to the EMEA Operations Lead you will work closely with the Registration Project Manager to continually support and educate the Contact Centre Representatives. You will demonstrate strong project management and communication skills, with a strong focus on customer satisfaction and the ability to work to timelines and make independent judgment in the resolution of customer service challenges.

Key Responsibilities
  • Be the client’s daily point of contact in the support of the ExP business 
  • Manage a dedicated inbox for ExP members, which is made up of our C-Level clients, ensuring customer service levels and service level agreements are maintained at all times 
  • Monitoring various memberships, programs, audit trackers and reports
  • Managing corrections, updates, processes and escalations when required 
  • Collaborate with the internal ExP specialists (counterparts), based in North America and Australia, looking for efficiency’s, sharing best practices and any current “hot topics” being seen in the EMEA and India regions 
  • Project manage internal & external requirements within timelines 
  • Provide regular updates to the contact center and wider team on any changes in information 
  • Arrange daily callbacks for new registrations for hotel reservations for required conferences

Your Background, Skills & Experience
Essential:
  • Demonstrates strong and effective communication skills
  • Strong telephone skills with the ability to handle difficult conversations and queries
  • Can multi-task and manage time to include managing concurrent tasks efficiently
  • Proven project management skills
  • Detail oriented with strong organizational skills
  • Experience in supporting or managing client projects with over 500 attendees
  • Ability to work with client/s, co-workers and vendors in multiple locations and time zones
  • Strong overall Microsoft office and G-Suite skills, especially Excel/Google Sheets
  • Experience working in an event planning environment 
Highly Desirable:
  • A good level of technical skills including database skills and comfortable working in multiple technical environments
  • Fluency or working knowledge of another European language
  • Experience within a marketing agency would be an advantage
